1. What information do we collect?
Personal information you disclose to us
In Short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.
Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
names
phone numbers
email addresses
job titles and positions
mailing addresses
usernames
passwords
contact preferences
billing addresses
contact or authentication data
work records you enter, such as jobs, work days, hours, rates, earnings, expenses, mileage, timecards, invoices, and payments
union affiliation and the markets you work in
tax records you enter or upload, such as W-2 and 1099 amounts and withholdings
bank or payment details you choose to include on invoices you create
kit and equipment inventory
profile photo, résumé, headshots, and other files and attachments you upload
information about your professional contacts that you choose to add or import
Sensitive Information. When necessary, with your consent or as otherwise permitted by applicable law, we process the following categories of sensitive information:
financial data, such as income, earnings, withholdings, tax documents, and bank details you include on invoices
union membership
precise geolocation (only if you grant location permission)
biometric login (Face ID, Touch ID, or Android biometric unlock), which is processed entirely on your device by Apple or Google. We receive only a confirmation of whether authentication succeeded and never receive or store your fingerprint, face data, or voiceprint.
Staff Access. Set&Co personnel do not access the contents of your account, including sensitive information, without your explicit consent (for example, when you share a support code with us, as described in “SUPPORT ACCESS BY OUR STAFF” below), except where necessary to protect the security of the Services, prevent fraud or abuse, or comply with law.
Information We Do Not Ask For. We do not ask for, and you should not upload, Social Security numbers, full taxpayer identification numbers, government ID images, passwords to other services, or full payment card numbers. If you choose to include such information in notes, attachments, or other content (for example, an unredacted tax form), you do so at your own risk. We protect all data in your account with the same safeguards, but we recommend redacting this type of information before uploading.
Payment Data. Payments are processed by Paddle (our Merchant of Record), the Apple App Store, or Google Play. Your payment card number, security code, and other payment instrument details are collected and stored only by these providers; Set&Co does not receive or store them. We receive limited information from them, such as your plan, purchase and renewal dates, transaction amounts, billing country, and subscription status. Sign-In Data. You may register and sign in using Sign in with Apple or Google Sign-In. If you do, we receive your name and email address (or an Apple private relay email address) from that provider, as described in the section called “HOW DO WE HANDLE YOUR SOCIAL LOGINS?” below.
Application Data. If you use our application(s), we also may collect the following information if you choose to provide us with access or permission:
Geolocation Information. With your permission, we use your device’s location while you use the App to show local weather (through the U.S. National Weather Service), show maps and the locations of jobs and contacts (through Google Maps), and suggest the markets you work in. You can change or turn off location access at any time in your device’s settings; the App will continue to work without it.
Contacts. With your permission, you can import contacts from your phone into your network in the App, and export contacts from the App to your phone. We import only the contacts you select. Imported contact information is stored in your account; we do not use it to contact those people, and we do not share it with other users.
Calendar. With your permission, you can sync your jobs and availability with your Apple or Google calendar. We read and write only the calendar information needed to provide the sync features you turn on.
Camera and Photo Library. With your permission, you can use your camera or photo library to add a profile photo, scan receipts, call sheets, and documents, and add attachments. We access only the photos and files you select or capture.
Files and Attachments. You can upload documents such as call sheets, contracts, receipts, paystubs, tax forms, résumés, and headshots. Attachments are stored in your account and are private unless you choose to share them.
Biometric Login. You can choose to secure the App with Face ID, Touch ID, or your Android device’s biometric unlock. Biometric matching happens on your device; we never receive your biometric data.
You can change any of these permissions at any time in your device’s settings.
Mobile Device Data. We automatically collect device information (such as your mobile device ID, model, and manufacturer), operating system, version information and system configuration information, device and application identification numbers, browser type and version, hardware model Internet service provider and/or mobile carrier, and Internet Protocol (IP) address (or proxy server). If you are using our application(s), we may also collect information about the phone network associated with your mobile device, your mobile device’s operating system or platform, the type of mobile device you use, your mobile device’s unique device ID, and information about the features of our application(s) you accessed.
Push Notifications. We may request to send you push notifications regarding your account or certain features of the application(s). We may also send service announcements and in-app or push messages about updates, new features, and important account or policy changes to all users or to groups of users. If you wish to opt out from receiving these types of communications, you may turn them off in your device’s settings.
This information is primarily needed to maintain the security and operation of our application(s), for troubleshooting, and for our internal analytics and reporting purposes.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.
Like many businesses, we also collect information through cookies and similar technologies.
The information we collect includes:
Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.
Usage and Analytics Data. We use a product analytics service to understand how the App and website are used, such as screens viewed, features used, taps and clicks, session length, and errors. This information is associated with an account identifier. We also use a crash-reporting service to diagnose errors. You can limit analytics collection in the App’s settings where available.
Anonymized Rate Data. If you opt in, we create anonymized records about jobs and rates, such as position, job type, rate, union status, and market, that are not linked to you, as described in “ANONYMIZED RATE DATA” below.
Google API
Our use of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.
2. How do we process your information?
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.
To provide the features you request. We process your information to provide features such as calendar sync, weather, maps, contact import and export, invoice creation, tax summaries, and public profiles.
To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.
To provide customer support using support codes. With your consent, we may access your account to help resolve issues, as described in “SUPPORT ACCESS BY OUR STAFF” below.
To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.
To send service announcements. We may send in-app or push announcements about updates, new features, and important changes.
To fulfill and manage your orders. We may process your information to fulfill and manage your orders, payments, returns, and exchanges made through the Services.
To send you marketing and promotional communications. We may process the personal information you send to us for our marketing purposes, if this is in accordance with your marketing preferences. You can opt out of our marketing emails at any time. For more information, see “WHAT ARE YOUR PRIVACY RIGHTS?” below.
To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention.
To evaluate and improve our Services, products, marketing, and your experience. We may process your information when we believe it is necessary to identify usage trends, determine the effectiveness of our promotional campaigns, and to evaluate and improve our Services, products, marketing, and your experience.
To identify usage trends. We may process information about how you use our Services to better understand how they are being used so we can improve them.
To determine the effectiveness of our marketing and promotional campaigns. We may process your information to better understand how to provide marketing and promotional campaigns that are most relevant to you.
To comply with our legal obligations. We may process your information to comply with our legal obligations, respond to legal requests, and exercise, establish, or defend our legal rights.
To create anonymized industry rate statistics. If you opt in, we use anonymized job and rate information to produce aggregated statistics for users and the industry. See “ANONYMIZED RATE DATA” below.
3. When and with whom do we share your personal information?
In Short: We may share information in specific situations described in this section and/or with the following third parties.
We may need to share your personal information in the following situations:
Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
When we use Google Maps Platform APIs. We may share your information with certain Google Maps Platform APIs (e.g., Google Maps API, Places API). Google Maps uses GPS, Wi-Fi, and cell towers to estimate your location. GPS is accurate to about 20 meters, while Wi-Fi and cell towers help improve accuracy when GPS signals are weak, like indoors. This data helps Google Maps provide directions, but it is not always perfectly precise.
Service Providers. We share information with vendors that perform services for us under contracts that limit their use of your information, including cloud hosting, database, and file storage; product analytics; crash reporting; push notification delivery; email delivery; and payment processing (Paddle, Apple, and Google).
Weather Data. To show local weather, we send your device’s approximate coordinates to the U.S. National Weather Service’s public weather API. We do not send your name, email, or account information.
Sign-In and Calendar Providers. When you use Sign in with Apple, Google Sign-In, or calendar sync, information is exchanged with Apple or Google as needed to provide those features.
Other Users. If you create a public profile or link with other users, the profile information you choose to share is visible to them. See “PUBLIC PROFILES AND LINKING WITH OTHER USERS” below.
Offer Wall. Our application(s) may display a third-party hosted “offer wall” that presents offers for subscriptions and services from other companies that may be useful to entertainment professionals. If you select an offer, you will leave our application(s) and be taken to that company’s website, where its own terms and privacy policy apply. A unique identifier, such as your user ID, may be shared with the offer wall provider to measure which offers are viewed and selected and to prevent fraud. We do not share your name, contact information, financial records, or other account contents with offer wall providers.
Text Messages. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
4. Do we use cookies and other tracking technologies?
In Short: We may use cookies and other tracking technologies to collect and store your information.
We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. Some online tracking technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.
We also permit third parties and service providers to use online tracking technologies on our Services for analytics and advertising, including to help manage and display advertisements or to tailor advertisements to your interests. The third parties and service providers use their technology to provide advertising about products and services tailored to your interests which may appear either on our Services or on other websites.
To the extent these online tracking technologies are deemed to be a “sale”/“sharing” (which includes targeted advertising, as defined under the applicable laws) under applicable US state laws, you can opt out of these online tracking technologies by submitting a request as described below under section “DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?”

Google Analytics
We may share your information with Google Analytics to track and analyze the use of the Services. The Google Analytics Advertising Features that we may use include: Google Analytics Demographics and Interests Reporting. To opt out of being tracked by Google Analytics across the Services, visit https://tools.google.com/dlpage/gaoptout. You can opt out of Google Analytics Advertising Features through Ads Settings and Ad Settings for mobile apps. Other opt out means include http://optout.networkadvertising.org/ and http://www.networkadvertising.org/mobile-choice. 5. How do we handle your social logins?
In Short: If you choose to register or log in to our Services using a social media account, we may have access to certain information about you.
Our Services offer you the ability to register and log in using Sign in with Apple or Google Sign-In. Where you choose to do this, we will receive certain profile information about you from Apple or Google, typically your name and email address and, for Google, your profile picture. If you use Sign in with Apple and choose to hide your email, we receive an Apple private relay email address instead.
We will use the information we receive only for the purposes that are described in this Privacy Notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by your third-party social media provider. We recommend that you review their privacy notice to understand how they collect, use, and share your personal information, and how you can set your privacy preferences on their sites and apps.
6. Public profiles and linking with other users
In Short: Other users can see only the profile information you choose to share.
You can create a public profile and link with other Set&Co users using an invite code, QR code, or link. You choose which profile information is shown, such as your name, positions, markets, highlighted jobs, union affiliations, and, if you turn them on, your phone number, email address, or résumé. Your private records, such as jobs, finances, tax information, contacts, notes, and attachments, are never shown on your profile.
Linked users may see that you are connected and how many mutual connections you share. Information you share with other users may be saved by them, and we cannot control what they do with it. You can change your profile visibility or unlink from a user at any time in the App.
7. Anonymized rate data
In Short: If you opt in, we use anonymized job and rate information, never linked to you, to create industry statistics.
Participation is optional. If you opt in, when you save certain job or work information, the App creates a separate anonymized record containing only fields such as position, department, job type, rate and rate type, union or non-union status, market, and date range. This record does not include your name, contact information, account or user ID, or any other identifier, and it cannot be linked back to you or your account.
We use anonymized rate data to create aggregated statistics, such as average rates by position and market, which may be shown in the App, on our website, or in industry reports. We publish statistics only when they are based on enough records that no individual can reasonably be identified. We do not attempt to re-identify this data, and we require anyone we share it with not to attempt to re-identify it.
Users who opt in receive access to an additional feature, as described in the App when you opt in. You can opt out at any time in Settings. Opting out stops future contributions. Because anonymized records cannot be linked to you, records created before you opted out cannot be identified or deleted, and they are not personal information.
8. Information you add about other people
In Short: Contact information you add or import is stored for you and is private to your account.
You can add or import information about your professional contacts, such as crew members, production companies, agents, and casting agencies, including names, phone numbers, email addresses, positions, locations, notes, and job history. We store this information on your behalf only to provide the Services to you. We do not use it to market to those people, we do not sell it, and we do not share it with other users.
If a Set&Co user you are linked with deletes their account, contact information you saved about them remains in your account. If you are not a Set&Co user and have a question about information a user may have stored about you, contact us at privacy@setandco.com and we will respond as required by applicable law.
9. Support access by our staff
In Short: Our staff do not access the contents of your account without your explicit consent.
Our staff can see basic account information, such as your name, email address, phone number, subscription plan, and last activity date, to administer accounts, billing, and support. We do not access the contents of your account, such as your jobs, finances, tax information, contacts, notes, or attachments, without your explicit consent, except where necessary to investigate security incidents, prevent fraud or abuse, or comply with law.
If you need help, you can generate a support code in the App’s Settings and share it with us. While the code is active (up to 24 hours), authorized support personnel may view the data in your account and, at your request, correct it. Access is logged, and you can revoke the code at any time.
10. How long do we keep your information?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than twelve (12) months past the termination of the user’s account.
If you delete your account, it will be deactivated immediately and your data will be kept for a thirty (30) day grace period, so you can restore your account or request an export of your data. After the grace period, we delete your personal information from our active systems, and copies in backups are overwritten within approximately thirty (30) days after that. We may keep limited information, such as purchase and transaction records, for up to twelve (12) months after account termination, or longer where required by law (for example, for tax and accounting purposes).
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
11. How do we keep your information safe?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
12. Do we collect information from minors?
In Short: Accounts are for adults 18 and older. Parents and guardians may track a minor’s information in their own account.
We do not knowingly collect data from, solicit data from, or market to children under 18 years of age, and we do not knowingly sell or share such personal information. Accounts may only be held by adults 18 and older, and minors may not create accounts or use the Services directly. A parent or legal guardian may use their own account to keep track of a minor’s auditions, jobs, and earnings (for example, for a child performer). In that case, the parent or guardian provides and controls that information, consents to our processing it to provide the Services, and should enter only the information needed. If we learn that a person under 18 has created an account, we will deactivate the account and take reasonable measures to promptly delete their data from our records. If you become aware of any data we may have collected from children under age 18, please contact us at privacy@setandco.com.
13. What are your privacy rights?
In Short: You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.
Withdrawing your consent: If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section “HOW CAN YOU CONTACT US ABOUT THIS NOTICE?” below.
However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.
Opting out of marketing and promotional communications: You can unsubscribe from our marketing and promotional communications at any time by clicking on the unsubscribe link in the emails that we send, or by contacting us using the details provided in the section “HOW CAN YOU CONTACT US ABOUT THIS NOTICE?” below. You will then be removed from the marketing lists. However, we may still communicate with you — for example, to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.
Account information
If you would at any time like to review or change the information in your account or terminate your account, you can:
Log in to your account settings and update your user account.
Contact us using the contact information provided.
Upon your request to terminate your account, we will deactivate your account and, after the thirty (30) day grace period described in “HOW LONG DO WE KEEP YOUR INFORMATION?”, delete your information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.
Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services.

14. Controls for do-not-track features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.
Global Privacy Control: We recognize and honor Global Privacy Control (GPC) signals. If you use a browser or extension that supports GPC, we will treat this as a valid request to opt out of the sale or sharing of your personal information for targeted advertising purposes under applicable state privacy laws, including the California Consumer Privacy Act (CCPA). When we detect a GPC signal from your browser, we will automatically apply your opt-out preference without requiring you to take any additional action. 15. Do United States residents have specific privacy rights?
In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information. You may also have the right to withdraw your consent to our processing of your personal information.

Under certain US state data protection laws, you can designate an authorized agent to make a request on your behalf. We may deny a request from an authorized agent that does not submit proof that they have been validly authorized to act on your behalf in accordance with applicable laws.
Request verification
Upon receiving your request, we will need to verify your identity to determine you are the same person about whom we have the information in our system. We will only use personal information provided in your request to verify your identity or authority to make the request.
